Privacy Policy

This policy explains how ALI OQAB ADVERTISING SERVICES (trade licence CN-6325109, Abu Dhabi, UAE), operating the KA Reactivation service ("we", "us"), handles personal data. We provide a WhatsApp messaging service to clinics in the UAE. We process patient data only on behalf of, and on the instructions of, the clinic that the patient previously visited.

1. Data we receive from clinics

A clinic uploads a file containing only three fields per patient:

• Patient name
• Phone number (international format)
• Date of last visit

We never receive diagnoses, treatment or service types, medical records, images or scans, or payment information.

2. Data generated by the service

• Visit category (regular / overdue / absent), calculated only from the date of last visit.
• Message delivery status (sent / delivered / read / failed), as reported by WhatsApp.
• Booking requests and their outcome after clinic staff contact the patient.
• Patient replies. If a patient types a free-text reply, the text of that reply is stored and forwarded as-is to the clinic's staff. Patients may write anything on their own initiative, so we ask patients not to share sensitive health information in replies.
• Opt-out records: the phone number and the date the patient asked to stop receiving messages.

3. How we use the data

• To send the clinic's WhatsApp reminder messages to its own former patients.
• To pass booking requests and patient replies to the clinic's staff.
• To stop all messages to anyone who opts out, and to exclude them from all future campaigns.
• To produce weekly aggregated statistics (counts only, with no names or phone numbers), emailed to the service owner.

No artificial intelligence. The service does not use any AI or language model, and no patient data is sent to any AI provider. Replies are handled only by fixed buttons and keyword matching:

• "Book" button → booking request passed to clinic staff.
• "إيقاف" / "stop" → immediate opt-out and a confirmation message.
• "شكراً" / "thanks" → no reply is sent.
• Any other text → forwarded to clinic staff unchanged. The system does not attempt to interpret or answer it.

Opt-out requests are always checked before booking intent, so a message such as "I don't want to book" is never treated as a booking request.

4. Where data is stored

All data is stored on a private server operated by us, running a self-hosted n8n instance, provided by ServerSpace and located in Dubai, United Arab Emirates. We do not use Google Sheets, external CRM systems or third-party cloud storage for patient data.

5. Sharing

We do not sell personal data, and we do not share it with any third party, with one necessary exception: messages are transmitted through WhatsApp (Meta Platforms) in order to be sent and received. WhatsApp's handling of messages is governed by WhatsApp's own policies. Each clinic's data is used only for that clinic.

6. Retention

The opt-out list is kept permanently to protect the patient: deleting it could result in a person who asked to stop receiving messages being contacted again.

When a clinic's contract ends, we provide the clinic with a full export of its data within 7 days and delete it from our systems within 30 days (except the opt-out list, for the reason above).

7. Your choices and rights

• Stop messages: tap "Stop messages" or reply "إيقاف" or "stop". This takes effect immediately and automatically.
• Access or deletion: email a.1300108@hotmail.com with your phone number. See our Data Deletion page. You may also contact the clinic directly.

8. Changes

We may update this policy. The effective date above shows the latest version.
